1.            Actions from meeting of 17 March 04

•  Thanks to Jeremy for preparing the summaries of the focus groups for sending out with Hill & Valley in April
•  Fiona will put these summaries on the website when she can.                                                     ( ACTION Fiona)
•  It was agreed that there was no need for any further action on David's summary of the group's position on the new hall following the Parish Meeting.
•  The brainstorming at the Away Day on May 1 had gone well and the Village Hall had been a cheap venue.   David and Alix were thanked for typing up the summaries.
•  Christine reported back on the Parish Meeting on April 19 when she & David had presented an update on the Parish Plan.
•  The parking problem at the school should be included in the Parish Plan.   Jeremy said that parish Council was applying to fell the large conifer obstructing the approach to the Church with the agreement of all those affected.
•  A representative from the group would attend the next steering meeting of the Community Project on 27 th May.                                                                                                                                                              ACTION Fiona
•  Alix volunteered to help the group commissioning the window for the new hall, and Christine provided names of Arts Officers at TVBC who might help.
•  Jeremy has established contact with Barton Stacey's Parish Plan group and they are keen to co-operate eg. seeing the army as a landowner in both parishes, and sharing sports facilities.
10.     The Parish Council has taken over responsibility for maintaining the football ground for a year and Martin Hulme is doing a coaching course.
 
•  Treasurer's report
The H&V insert had cost only £70.
The away day cost £56 plus the hire of the hall
£1750 had been spent so far.

 

3.            Workgroups

Catherine Sweet had agreed to help and she and Fiona had prepared a useful summary of Next Steps following the discussions at the away day.
They suggested 4 workgroups           Transport
Environment (to include roads between them)
Social/Sport/Leisure
New Build Facilities (to include existing facilities between them).
Each group should have 2 meetings:
The first should identify issues and potential solutions, and ensure that any data or opinions needed were included in the questionnaire and priorities established.   These meetings must be held before 11 th June to allow time for the outcomes to inform the questionnaire.
The second meeting should include those with expertise & experience from the village and outside, and should specify actions needed to deliver the options to be included in the Plan.
 

                  The following meetings were agreed:

                                    Transport                 Monday 24 th May 8 pm   at Newton Cottage led by Catherine

                                                                        (Timed to precede a PC meeting with HCC officers on roads on 27 th May)

                                    Environment            Monday 30 th May 7.30 pm at Newton Cottage led by Catherine

                                    Leisure                       Wednesday 2 nd June 8 pm at Orchards led by Fiona

                                    New Build                Wed. 9 th June 8pm in Forton led by Fiona.

4.            The Questionnaire

Fiona and Christine presented an admirable summary of progress – ( Attached)
The questionnaire would be drafted on 12/13 th June and be ready for piloting on June 20.
There was some discussion about the plan to distribute it with Hill & Valley at the beginning of July.
It was agreed that there should be one questionnaire per household but it might include questions to be answered by each member of a family.   It should take about 30 minutes to fill in.
About 20 volunteers would be needed to collect the questionnaires in the 2 nd & 3 rd weeks of July from 15 houses each.
They should be involved in the pilot and other names were also suggested to pilot it.
Volunteers with Broadband would also be needed to input data from the questionnaire into a web-based database which David Gould would devise.
It was agreed that anonymity should be preserved and that individual returns should be confidential, but that it would be possible for individuals to identify themselves as volunteers or to register interest in a certain area

                                   

5.            Barbecue

Agreed that the group and volunteers should have a barbecue in Forton on Sunday 25 th July – place and time to be settled later.   (Apologies from Mary Jo.)

 

6.            Next meeting: 8pm Thursday August 12 th at David's house
